It is definitely THAT time of year again!
  
Every year, during October, November, and December, our advisors spend a great deal of time helping our clients build their marketing plans for the upcoming new year. If you are a current client, it doesn't matter if you are in the middle of a campaign (a good example is a mail campaign) that might not end until the middle of next year. All of you should still review 2014, run the budget numbers for 2015, subtract the costs of what is working, and plan to continue to build upon the effective promotions you already have in place.

What's the big deal about changing years? 

It's not that it is a big deal. But, it certainly could be a big deal depending upon your specific situation. 

The old 179 deduction has all but evaporated (see reference below). We are not CPA's. But we are getting many dentists (mostly clients) calling us and letting us know their CPA said they should plan out next year's marketing expenses and pay some of those in this tax year. Well, any time you promote anything, there are always costs prior to deployment. So, if your CPA says it is in your interest to pay for design/production this year, and pay for deployment next year - we can help. 

In an effort to avoid a potential back log, if all of you call us during the last two weeks in December (procrastinator alert!), we won't be able to help everyone maximize their CPA's recommendations. So, please plan to reach out some time between now and the beginning of December. That way we can give everyone the time and attention they deserve. 

This has been another record breaking year at NPI. Our firm doesn't grow simply by selling more new clients. Our firm grows by retaining existing clients. This year, over 70% of our clients have been with us for 5 years or more. This is another record. Yes, we are proud of our team, but our pride is also shared with dentistry as a whole.  

Promoting dentistry properly requires understanding, consistency, time, and let's face it - a little bit of faith! We tip our hats to the segment of dentistry which has taken the time and energy to learn, the faith to maintain consistency, the devotion to understand/monitor/measure results properly, and the tenacity to continue to build onto your successful promotion foundation, year after year.

Halfway point of 2014 - Where are we?

 A year ago, in this newsletter, we reported a flattening (some folks would call it bottoming) in the slow total revenue slide which impacted dentistry from the beginning of 2008 until last year. We counseled everyone to begin thinking about allocating a small percentage of your marketing budget (10% to 20%) toward advertising the more elective dental services you offer. For your particular market, we recommended looking at the local housing market (when it bottoms and begins building gains again) as an indicator for when you should potentially reallocate your marketing budget. You can find those numbers for your community online, or, through any real estate agent in your immediate area.

As a whole (clients), we are seeing more elective treatment being accepted than the previous 6 years. This is good! This doesn't mean you reallocate your whole budget to one or two of your preferred service offerings! Don't go overboard with your allocation. But if you haven't yet, now would be a good time to begin thinking about it.

On the flip side, we are seeing more and more people (patients) with money as a primary (and seemingly deeper) concern. This makes total sense. Combine inherent health/dental care procrastination with the worst recession in 80 years, and you get lots of people concerned about cost (they always were) and emergent needs (now it hurts). We can confidently say, all of you will see an uptick with this type of new patient interaction over the next several years.

Looking forward, we are very optimistic. We are not saying there is a 6 year rebound ahead, but all indications point to the industry flattening at the bottom and beginning to make gains. This is good! If your marketing was working while things were on the way down, they'll work better on the way up!

Websites - Traditional & Responsive - Uncluttering the confusion

For those of you unfamiliar with the two website development styles, we offer the following very basic definitions.

Traditional - Separate website for viewers using full size computers along with a traditional mobile website for viewers using tablets, phones, and other devices with smaller viewing screens.

Responsive - One website that morphs its design depending upon what device is used by the viewer.

There are many advantages and disadvantages of BOTH website design styles. If you participate in some of the dental internet forums, you will probably hear overwhelming commentary when it comes to which style is best. Technology people are funny like that. Whatever they use seems to be the best at the moment, until something else comes down the road.

Time to act on filling in the rough spots! (July, September, December)




About a year or so ago, we communicated two more initiatives that made it through our testing gauntlet with positive results. Many initiatives start out as great ideas, few make it through testing. These two did provide consistent/positive results market to market. The reason we are bringing this up again is because this is the time to prepare.

For many of you, the months of July, September, and December are low production points of your year. What would your end of year production look like if those months were just average, instead of being low? For many/most of you, it would add about 10% to your end of year top line.

Pedo/Ortho in July & September

Pedo and ortho focused advertising in July and August will respond in greater numbers and frequency than promoting general dentistry (all of it) in July. It makes sense. The kiddies are at home. Mom doesn't have to pull them from school to get them to your practice. So, if you reach out in July and August to attract children to your practice - you will be ahead in those months.

This is especially effective if you do ortho. You can get through the initial exams in the summer and start the cases in September (which will make September better). Talk to almost any orthodontist, they will tell you September is one of their best months of the year - consistently.

With this advertising push, you are leveraging weather, convenience, urgency. Mom knows the weather is better in the summer than the winter, she knows it is MUCH more convenient for her to get her children to you when they are off from school, and she certainly knows that eventually - school will begin again. She has a known deadline if she wants to make things easy for herself.

Typically a series of three very specifically targeted rounds of post cards will do the trick. If you hit the streets with them the 2nd week of July, the first week of August, and the 3rd week of August (consult your school calendar and adjust drops accordingly), you have a very good chance of inexpensively capturing a very important segment of the dental market.

We understand many of you who have practiced for a while, aren't necessarily jumping at the idea of bringing a bunch of kids into your practice. But, the kids come first, mom comes second, and dad comes kicking and screaming - 6 months later. You know how it works. If this is something you simply cannot do, or do not want to deal with - don't do it! Just be realistic with your adult new patient numbers if you purposely cut off this proven way of getting more adult new patients.


Insured - between Nov 15th and December 31st

The time between Thanksgiving and New Year's Day requires a time sensitive incentive. Mom has a billion distractions during the holiday time period. She needs an added incentive to respond. Many/most of you already send some sort of "use it or lose it" insurance email or letter to your existing patients. Many/most of you have added production to your schedules by doing so. The same can be done with the general public! You don't have to limit your exposure to just your own patients. Everyone in town is going to have their insurance benefits renew on Jan 1. The general public responds to that sense of urgency as well, especially if you are already promoting to the same targets throughout the year. Many of you are already mailing. For you, we already have a properly targeted mail list, so you won't have to buy another one.

USPS announces increase in rates - won't let anyone know what they are.
  
It likely won't add up to be noticeable, we would expect about $80 to $100 for a normal size mail drop, but the USPS announced bulk rate increases. As usual, they won't really let anyone know what the new rates will be, only that they are going up.

Good news: The lowest rates will be received from those who deliver bulk mail to the bulk mail facilities that have prepared themselves properly by investing in three things.

1.     Have a track record of nearly zero imperfections in their previous dealings with the bulk mail facility 
2.     Use new software to properly certify and sort addresses according to their new receiving technology 
3.     Are ready to deliver through their new automated bulk mail delivery scanners

NPI and its vendors qualify for all 3 of these new "hoops" and have been prepared for this change as the USPS has changed their technologies and their rules. There should be no interruption in service whatsoever. You will receive the lowest possible postage cost for your postcards, tri-folds, and magazines.
  
 New analytics added to monthly Website/SEO/Social media reports
  
If NPI is handling your internet strategy, you already know about the reports you get every month showing the ranking position of your website, by search phrase, and various social media outlets during a google search. We recently added additional performance metrics to the report. Some of those include # of unique visitors, # of PC visitors, # of tablet users, # of mobile visitors, etc. We are also adding a new Google feature to assist in identifying/notifying you of all of the reviews posted about your business. It seems Google's consolidation of reviews is ongoing and they see end user value in listing all reviews for a particular business. Stay tuned to this one. There are people out there selling reputation management services. This new Google feature should all but eliminate the need for you to spend that money.


 Some insight into reputation marketing

Notice we didn't say reputation management? That was on purpose. We know of no true value in delegating "reputation management" to someone else. If we did see value, NPI would be doing it for you.

With online reviews, you have no control over what someone says about you - so, in our eyes anyway, online reputation is not manageable. However, if done properly, your reputation is marketable! And, by properly marketing your reputation, you better manage your reputation!

Reputation marketing (as opposed to reputation management) is about being proactive and taking control of the volume and quality of the online reviews of your dental practice. NPI is working on a combination online and offline system that is easily implemented (key phrase alert) in the dental practice to help systemize reputation marketing with your team and your patients. This should be available 2nd quarter in 2014, so, stay tuned.

 Pedo, selective consumers, & holiday seasons
  
Kind of an odd paragraph title isn't it? You would think the three items had nothing to do with each other. Back in September's newsletter, we announced three distinctly different levels of mail for three distinctly different market segments. Many of you are planning your promotion right now, so we bring postcards, tri-folds, and magazines back to the forefront.

Pedo: July and August in most markets. Targeting is presence of children and households with income thresholds (usually top 60% of the market). Promote pedo ANY TIME the kiddies are home from school. In most markets, July and August are obvious. Another consideration is spring break time. Any time the kids are home from school, you eliminate one step for mom. She knows this and values this. She will respond in greater numbers during these time frames.

Selective consumers: Selective consumers are those in the top half of your market, that you are reaching with your message, but they simply haven't responded yet. They will, you just haven't coaxed them over the fence yet. Selective consumers typically have either one specific need or a list of specific dental needs, and they have had these needs/wants for a long time. For some reason, they haven't pulled the trigger. NPI's 8 page magazines are specifically for the most selective consumers in your marketplace. The magazines tend to generate a low call volume, but a ridiculously (read: off the charts) high average revenue per patient. These patients are the most scared, the most embarrassed, the most disenchanted, or the best dental procrastinators in your market area. No matter what category they come from, when they respond, it is usually a very large case.

Holiday seasons: How many of you had a slow November and December? Fix it. Next November and December, send use it or lose it postcards to the masses (not just your own patients). Use it or Lose it postcards simply convey the same information as the popular internal promotions (your benefits are going away soon), but instead, you are letting the whole public know! You will be leveraging the public's affection for procrastination.

If you are mailing other pieces (tri-folds and/or magazines) throughout the year and stop mailing between Nov 15 through Jan 1, no need to get a new mailing list. Just send the postcards to your existing mailing list. Holiday season campaigns typically involve 3 drops to your mail list. Typical timing would be to deliver the first drop around Nov 15, 2nd drop around Dec 1, and the third drop around Dec 15.

No matter who does your practice promotion, consider these three ways to help turn the down months, into much better months for your practice.
